StayMatcher — staymatcher.in
Version 1.0 · Effective 18 August 2026
StayMatcher is an accommodation matching platform operating in India.
Contact: ragul@staymatcher.in · 76049 59096
1. The short version
You tell us what stay you are looking for. We pass that requirement to relevant properties without your name or contact details. They send back priced offers. Only when you accept an offer does that one property receive what it needs to host you.
We do not sell your information. We do not let properties market to you. We do not hand your phone number to a list of hotels.
2. What we collect
2.1 When you create an account
If you register with an email address and password: your name, email address, and a password stored in encrypted form that we never see. We ask you to verify your email address.
If you continue with Google: we receive your name, email address, profile picture and Google account identifier from Google. We never receive your Google password. Google's own privacy policy governs what Google does with your information, and we suggest you read it. You can disconnect StayMatcher from your Google account at any time in your Google security settings.
2.2 When you submit a request
Destination; check-in and check-out dates and approximate times; number of adults, children by age band, and senior citizens; who you are travelling with; budget; type of stay; preferences; purpose of trip, if you give one; any special care or accessibility needs you describe; and your WhatsApp number, if you give it.
2.3 When you accept an offer
The offer as accepted, and the date and time of acceptance.
2.4 When you contact us
Your messages to us through the in-platform chat, email or WhatsApp, and our replies.
2.5 Automatically
IP address, browser and device type, and pages visited. See section 8.
2.6 What we never ask for
We do not ask for your payment card details, bank details, government identity numbers, or date of birth. No payment for a stay is ever made to StayMatcher. If a page or message asks you to pay StayMatcher, it is not from us.
3. Why we use it
| What we do | Basis under the DPDP Act 2023 |
|---|---|
| Create and secure your account | Consent |
| Match your request to relevant properties and carry it to them | Consent |
| Show you offers and record your acceptance | Consent |
| Give the confirmed property what it needs to host you | Consent |
| Send you service messages about your requests, offers and confirmed stays | Consent |
| Keep records of confirmed stays | Legal obligation / legitimate use |
| Handle complaints and grievances | Legal obligation / legitimate use |
| Detect and prevent fraud and misuse | Legitimate use |
| Improve how our matching works, using anonymised and aggregated data | Legitimate use |
| Send you marketing | Separate, specific consent |
You can withdraw consent at any time. Withdrawing consent for the core service means we can no longer operate your account or process live requests. Withdrawing marketing consent has no effect on the service.
4. What properties see — the most important section
4.1 Before you accept an offer
A property receiving your request sees: destination; dates and approximate times; number and composition of guests; budget; type of stay; your stated preferences; purpose of trip, if given; any special care or accessibility needs you described; and a request reference number.
It does not see: your name, phone number, WhatsApp number, email address, IP address, account details, any of your other requests, or any other offer you have received.
Why: if every property in a destination could see your number the moment you submitted a request, you would be called by all of them. Masking is what makes StayMatcher usable.
4.2 The free-text fields
Anything you write in preferences, purpose of trip, or special care needs is passed to the properties your request goes to, so they can respond accurately. Please include only what you want those properties to know.
4.3 When you accept an offer
At that point, and only then, the one property whose offer you accepted receives your name, your mobile number, the number and composition of your guests, your dates and expected arrival time, any special or accessibility needs you stated, and your stay reference.
It does not receive your email address or anything about your other requests or offers. Every other property that quoted receives nothing further.
4.4 What a property may and may not do with it
A property must use your information only to host and coordinate the stay you confirmed. Under its agreement with us, it must not sell, publish or pass on your information; add you to a marketing list or database; send you promotional messages at any time, including after your stay; or contact you about anything other than your confirmed stay.
It may keep records its own law requires — a guest register, tax records and similar — and must delete the rest once it no longer needs them.
If a property contacts you outside these limits, tell us at ragul@staymatcher.in. It is a breach of its agreement with us and we act on it.
5. Who else we share with
- The one property whose offer you accepted, as described in 4.3.
- Service providers who help us run the platform — website hosting, email delivery, messaging including WhatsApp, and sign-in through Google where you use it. They may process your information only on our instructions and for these purposes.
- A payment service provider, if and when online payment is introduced. This is not part of the current service.
- Authorities, courts or advisers, where we are legally required to, or where it is necessary to establish or defend a legal claim.
We do not sell your information, and we do not share it for advertising.
Processing outside India. Some of these providers operate infrastructure outside India, so your information may be processed outside India. We remain responsible for it.
6. How long we keep it
| Information | Retained for |
|---|---|
| Account details | While your account is open, then 12 months |
| Requests and offers that did not lead to a confirmed stay | 3 years |
| Confirmed stay records, including the accepted offer | 8 years |
| Complaints and grievance correspondence | 8 years |
| Chat and support messages | 3 years |
| Technical data | 26 months |
Confirmed stay records are kept for 8 years because they are the evidence we rely on if a question arises about what was offered and accepted, and because tax and limitation periods require it.
7. Your rights
Under the Digital Personal Data Protection Act 2023 you may ask what we hold about you; correct information that is wrong; ask us to delete it; withdraw consent; nominate someone to exercise your rights if you are unable to; and complain to us and then to the Data Protection Board of India.
Write to ragul@staymatcher.in. We will respond within 15 days.
What deletion means in practice. We close your account and delete your profile and open requests. We keep the record of any confirmed stay for the period in section 6, because we are required to and because it protects both you and the property if a question arises later. That record is not used to contact you or market to you, and we will tell you exactly what has been kept. If you have a confirmed stay that has not yet happened, we will ask you to cancel or complete it first.
8. Cookies
We use two kinds of cookie, and no more.
Essential cookies keep you signed in, confirm it is still you, protect forms against misuse, and remember basic choices. Without them the platform does not work, so they cannot be switched off.
Analytics cookies tell us how many people visit and which pages they use, so we can improve the service. We look at this in aggregate and are not interested in tracking you as an individual.
We do not use advertising, retargeting or remarketing cookies. We do not sell data to advertisers and do not allow third parties to track you across other sites through StayMatcher.
Every browser lets you see, delete and block cookies, usually under Settings, then Privacy. Blocking essential cookies will stop StayMatcher working.
9. Children
StayMatcher is for adults. You must be 18 or over to hold an account, submit a request or accept an offer. We do not knowingly collect information directly from anyone under 18, and we do not track children or direct advertising at them.
Children can be included as accompanying guests on an adult's request. We collect only their number and age band — not their names or contact details — because properties need it to price and prepare a stay. The account holder is responsible for that information.
If you believe someone under 18 has created an account, tell us and we will remove it.
10. Security
We protect your information with encrypted connections, encrypted password storage, access limited to those who need it, and the contact masking described in section 4.
No system is completely secure. If a personal data breach occurs that affects you, we will notify you and the Data Protection Board of India as the law requires, and tell you what happened and what to do.
11. Marketing
We will only send you marketing if you ask for it. Every marketing message carries an unsubscribe option. Service messages about your requests, offers and confirmed stays are not marketing and continue regardless — these may reach you by email and, if you gave us your number, on WhatsApp.
12. Changes
We may update this policy. The version number and effective date above will change, and where an update materially affects you we will tell you before it takes effect.
13. Contact and complaints
Grievance Officer — ragul@staymatcher.in · 76049 59096
The same contact handles questions about your personal data. We acknowledge within 24 hours and aim to resolve within 15 days. If you are not satisfied, you may complain to the Data Protection Board of India.
